Our regional presence in the U.S. is focused on GMP-compliant manufacturing of plasmid DNA products up to 500L. The team has extensive experience up to phase III clinical supply and successfully released more than 100 GMP batches for advanced therapy applications.  At our San Diego site, we are currently looking for a ​Administrative Assistant​ to join our growing team.

Job Responsibilities

The Administrative Assistant provides high level administrative and clerical support to the General Manager and Wacker Biotech San Diego, site. The support includes administrative activities such as scheduling and coordinating of meetings and travel, time keeping, ordering and maintaining office and lab supplies, scheduling interviews for recruitment and new employee orientation support, communication with vendors and external partners. In addition to creating power point presentations and the ability to pull data and create reports as needed. This position will recommend more efficient ways to run the office.

  • Organize General Manager's schedule. Support Senior Management in Coordinating and scheduling internal, customers and vendors meetings.  Coordinate site visits registration, support security processes and prepare meeting rooms. Bring creative input and management of special team and company events. Assist with internal office moves and coordinating new hire office location. Assist with any special projects.
  • Coordinate employee's travel arrangements and support expense reporting of the Management team members.
  • Support General Manager by preparing PowerPoint presentations and data reporting as needed (monthly reports, KPIs). Support team's communication with other internal teams and WACKER sites; maintaining intranet/SharePoint; Support site with data reporting needs and distribution of internal reports.
  • Complete time keeping entries for all exempt and non-exempt team members; Support recruiting process by coordinating interview process and supporting new hire on-boarding. 
  • Support creating requisition and purchasing processes for office and lab supplies and instrument investments, etc.; Monitor invoices for uniform charges; Support coordination of basic facility maintenance.
  • Responsible for the training coordination for the department. Ensuring employees have met their training requirements; coordinating training presentations as needed.

Qualifications

  • Associates Degree in a related field is required, Bachelor’s Degree in a related field is preferred.
  • Minimum of 3 years of position related experience.
  • Proficiency in Microsoft office software including Excel, Word, Power Point
  • Proficiency in SAP, SharePoint as a plus, familiarity with HRIS systems and ADP
  • Ability to quickly learn new software tools and databases
  • Excellent organizational skills with an ability to think proactively, detail oriented, accurate and able to juggle multiple tasks and projects
  • Strong interpersonal and written and oral communication skills; Good service orientation and operational discipline
  • Discretion and confidentiality
