What you will do:
This position reports to the Director of Plant Engineering and Maintenance at the Wacker Polysilicon plant located in Charleston, TN. The Administrative Assistant is responsible for providing a high level of administrative and organizational support to the Director of Plant Engineering including assistance to senior managers/engineers within the WPNA Engineering & Maintenance organization at the new Polysilicon production facility in Charleston, TN.
- Support Sr. Director of Corporate Engineering, management team in organizational and administrative matters (e.g. regional conferences, quarterly team meetings, monthly reporting) as well as global Engineering members when attending matters in US for WCC Corporate Engineering
- Coordination of engineering teams reports; create, revise, and format meeting minutes, correspondence, and spreadsheets
- Assist with preparation for executive and Board member visitors
- Handle preparation of internal and external correspondence (with different regions/functions within Wacker, Suppliers, Contractors)
- Coordinate travel arrangements and process expense reports for Sr. Director of Corporate Engineering and Management team
- Meet regularly with Sr. Director of Corporate Engineering regarding support for office and to provide updates on function of Engineering & Maintenance Admin team and Admin offices
- Coordinate and facilitate new employees and Contractors onboarding as well as candidates interviews, expense reports and follow-ups
- Support on preparation, data entry and maintenance of Engineering department collaboration, capabilities and sharing databases including but not limited to Kanban boards, staff team actions planner
- Process SAP transactions (e.g. purchase requisitions, work orders, notifications, goods receipt, etc.) for the department
- Support engineering processes and workflows (e.g. invoice processing, submittal procedure, access control, external account renewals, SharePoint, BARs)
- Support coordination and tracking of Trailers offices 5S, maintenance and tidiness
- Oversee the operation of both Engineering Admin offices (office bldg. and trailer complex)
- Under the direct supervision of the Director of Corporate Engineering, provide instruction and delegate tasks to the other Project Engineering Admin on the administrative and operational structure and function of both Engineering & Maintenance Admin offices
- Organize department meetings, lunches, conferences, and events
- Coordinate and facilitate Engineering new hire meetings for new Engineers in the Department to give overview of Admin team responsibilities
- Facilitate housekeeping audits for Engineering & Maintenance Dept
- Serve as back up to other Engineering & Maintenance department Admins when out of the office (e.g. vacation, illness, training)
- Facilitate regular meetings with Engineering & Maintenance Admin team to align on matters concerning office operation
- Function as LSO Coordinator for WCC Corporate Engineering team
- Function as Timekeeper for engineering team
- Function as Webmaster for entire Engineering Department
- Function as Collaborator of CHA Visitor SharePoint and serve as liaison with SME to coordinate changes/updates
- Function as Owner of WCC Capabilities Matrix and SharePoint and serve as liaison with Staff and Engineers to coordinate changes/updates
- Ensure all safety and environmental related maintenance and technical controls are done in a timely manner and all P&ID are kept up date.
What we need from you:
- High School Diploma or GED, associate degree preferred
- 5 or more years of experience supporting distinct teams simultaneously
- Extended multi-tasking competency and the ability to work reliably with short response times in a fast paced global network environment
- Solid computer skills with MS Office tools (Word, Excel, PowerPoint, Outlook, Visio, SharePoint)
- Willingness and ability to learn new tasks and tools (SAP, Business Warehouse, Enterprise Buyer, Wacker specific IT and Presentation tools, etc.)
- Solid communication (oral/written) and intercultural skills
- Ability to react flexibly to changes of work scope and a highly developed sense of priorities
- Ability to interact with a high degree of professionalism with Executive Staff, Government officials, and Board Member
