At our site in Ann Arbor, we are currently looking for a ​Accounts Payable Supervisor​ to join our growing team.

 

This position will oversee the WCC/WPNA accounts payable freight and T&E functions, supervising three Accounts Payable Specialists.  Key responsibilities include coordinating all aspects of the travel program to ensure that expenses follow company policy and coordinating with the freight management third party provider to ensure that freight invoices are processed accurately and timely.  This position provides financial guidance and support to the company and serves as a point of contact for all payable matters.  This position is a deputy to the Accounts Payable Manager with dotted line supervision for the remaining four Accounts Payable Specialists and the Accounting Coordinator.

 

Job Responsibilities

  • Manage the day-to-day operations of freight invoice processing.  Provide guidance and leadership to three direct reports on in-house invoice processing and act as a liaison with the company's third-party freight processor to ensure all freight invoices are processed accurately and paid on a timely basis.  Conduct mid-year and annual employee performance appraisals to develop staff and achieve NCA region strategic goals. Lead various departments to improve accuracy and timeliness of inputs, such as pricing, purchase order, receiver, invoice and approval compliance.  Ensure strong internal controls and initiate improvements for gaps.  Perform freight vendor statement reconciliation to ensure all invoices have been received and processed.  Train and manage AP Specialist responsible for freight postings.      
  • Manage the day-to-day operation of the corporate travel program utilizing the Amex and Concur platforms.  Customize reporting per business team needs within the Concur software package.  Coordinate travel policy directives with Human Resources and Procurement to meet company needs.  Successfully interact with American Express and Concur representatives, including initiation and resolution of tickets.  Lead efforts between the company, employees, and American Express to ensure timely payments and reconcile account issues.  Provide new user setup and training.  Lead system improvements and enhancements and build and maintain training tools for users.  Train and manage AP Specialist responsible for daily review of expense reports
  • Lead the procure to pay process for WCC with dotted line manager responsibility over the remaining four Accounts Payable Specialists.  Specific responsibilities include proper vendor set-up and relations, invoice processing and payment runs.  Assist in developing and maintaining systems and Accounts Payable related procedures and policies to ensure adherence to company guidelines.  Review vendor statements and resolve issues.  Resolve blocked invoices.
  • Responsible for oversight and execution of month end close activities related to Accounts Payable for WCC.  Perform analytical review of freight activity and determine accrual amounts for appropriate financial statement recognition.  Calculate various other Accounts Payable related monthly accruals.  Perform analytical review of Accounts Payable general ledger accounts for accuracy and reasonableness.  Prepare and process check/ACH/SEPA and wire payment runs. Complete quarterly audit schedules for external auditors and resolve audit questions.
  • Create rebill documents, process ELKO, complete journal entries and clear AP document postings as needed.  Review and resolve GR/IR differences.
  • Co-lead continuous efforts to improve operations, decrease turnaround times, and streamline work processes.  Work cooperatively and jointly to provide quality, seamless customer service.  Develop staff in best practice techniques.  Coordinate workload assignments with Accounting Manager to ensure efficient use of team resources.
  • Reconcile and prepare 1099's in accordance with tax regulations using outside software service.  Analysis includes one-time vendor and applicable account review for any outliers.

 

Job Qualifications

  • Bachelor's Degree in Accounting or equivalent experience        
  • 3+ years of experience in related field
  • Multi-state sales and use tax knowledge
  • 1099 compliance knowledge
  • Leadership skills
  • High Integrity, self-motivated, team player, with the ability to work independently
  • Detail oriented
  • Ability to think critically for end-to-end processes supporting accounting principles
  • Provide accounting support and guidance for business transactions
  • Extensive SAP knowledge
  • Strong Excel skills
  • Accounts Payable Processing Experience (high volume preferred)
